Website Teaching Tree Early Childhood Learning Center

Teaching Tree Early Childhood Learning Center is seeking a highly organized, self-motivated Enrollment Coordinator and Office Administrator to complete our administrative team.  We are a local non-profit, high quality childcare center who recently celebrated 50 years in business and has since expanded in size to better provide for our local community.  This candidate must exhibit excellent customer service skills in a high pressure, high traffic area of the center and have direct experience with enrollment, accounts receivable, and a passion for creating positive business relationships with prospective and currently enrolled families.  This candidate will be required to have at least 2 years of experience working in an administrative position in a large childcare facility with knowledge and verified experience enrolling families and working with accounts receivable.  Candidates will also be required to be qualified as an Early Childhood Teacher with a credential of 3 or more with the Professional Development Information System (PDIS).  

The Enrollment Coordinator and Office Administrator is an essential part of the administrative team, providing support to various staff members and community members.  The ability to handle stressful and sensitive situations in a positive manner and being attentive to details are a must to sustain this position.  Teaching Tree values their employees and strives to create a fun, supportive working environment so we may continue doing what we do best:  teaching and caring for our future generations.  

Basic responsibilities of the Enrollment Coordinator and Office Administrator will include but are not limited to the following: 

  • Enrollment:
    • Coordinate with prospective parents in regards to availability
    • Conduct tours/open houses and parent orientation upon enrolling
    • Enters and tracks enrollment paperwork for all currently enrolled children
    • Assist with classroom rosters, transitions, and upcoming openings 
    • Manage waitlists and pull from waitlists based on openings 
  • Accounts Receivable:
    • Billing box set up and monitoring for rate changes based on schedules and age
    • Auto pay set up for currently enrolled families and initiate auto pay program
    • Basic monitoring of accounts and ensuring financial contracts completed 
    • Statements for parents as requested
    • Follow up with unpaid tuition
  • Child Files:
    • Create, manage, track updated enrollment forms upon enrollment and annually as required by the Colorado Office of Early Childhood (licensing) and Teaching Tree
    • Track and obtain updated physical and immunization records for enrolled children
    • Ensure all classrooms have updated emergency contacts
  • Medication Administration:
    • Complete Medication Administration training 
    • Intake for all medication permission forms, seizure action plans, asthma and allergy action plans, etc.  
    • Monitor medication binder for expired paperwork and expired medication 
    • Administer medication as needed 
  • Communication:
    • Compile and compose weekly updates for currently enrolled families and active staff members
    • Assist with classroom bi-weekly newsletter distribution and other communication needs as they arise
    • Manage and reply to all communication from currently enrolled families, prospective families, teaching staff, and administrative staff on a timely manner
  • General administrative tasks:
    • Manage reception area including monitoring administrative and janitorial supply inventory and create orders as needed
    • Help direct all patrons of Teaching Tree according to their need/concern 
    • Assist with staff recognition program 
    • Keep up with phone and email communication 
    • Handle confidential situations with respect and dignity

Wage Range 

$16-$18 per hour


Full Time Monday through Friday from 8:00 am to 5:00 pm with flexibility to stay later as needed.  Teaching Tree operation hours are Monday through Friday from 6:30 am – 6:00 pm.
